Changing plan, licenses and term

Which package, how many licenses — and what applies at once and what only at the end of the period.

Your business's contract sits under Settings → Company → Contract & subscription. Only the Office – Admin sees this tab.

What the price is made of

Three things that count separately:

  1. The package — Single, Team or Company. You choose it yourself, and it determines which features you have. Every package comes with office seats: Single with one, Team with two, Company with three.
  2. Licenses you add — every further office seat and every field worker, counted per person. Field workers are not included in any package.
  3. Add-ons — automation and, on Single and Team, scheduling. These count per business, not per person: the price stays the same no matter how many people work for you.

This article does not name amounts — what applies are the prices set for your country in their currently valid version. All prices are exclusive of VAT. You are billed in the currency of your country, and the amounts are not converted but set individually for each country. Romania is the exception: billing there is in euros, because the payment provider does not support the Romanian leu. Your bank may therefore charge conversion fees.

An office license includes the mobile app. Anyone who works in the office and on site does not need a second license.

If the monthly quota on Team is used up, invoices by email still arrive in the inbox and stay there at least until the end of the following month. You can take them over from the following month on; they then count toward that month's quota.

Everything else — quotes, invoices in every format, time tracking, projects, the mobile app, the data export — is the same in every package. During the trial you have all of it, plus both add-ons.

Changing your package

Zirko never changes your package on its own — not even when more people need to work in the office than your package has seats. For that, office seats are added, or the business moves to a bigger package.

  • A bigger package takes effect at once and is charged pro rata for the rest of the current billing period.
  • A smaller package takes effect at the end of the current period. Until then you keep what you had, and there is no credit. Only the office seats that go away with the smaller package can no longer be assigned to anyone, starting right away.
  • If you switch to Company, a booked scheduling add-on is dropped — it is already included there and is not charged twice.

What a smaller package does not include is still kept. Recorded incoming invoices, imported catalogs and tenders, planned assignments and the costs of your projects stay readable and exportable — you just cannot create anything new there. A cumulative interim invoice series you have already started carries on through to the final invoice.

Monthly or annual

A subscription is billed monthly or annually, and it is possible to switch between the two at any time. Three things apply here:

  • The switch takes effect at once, not only at the end of the current period.
  • What has already been paid for the current period is credited against the new period. Only the difference is payable.
  • A subscription has exactly one term. Booked add-ons therefore switch with it.

An add-on can end immediately when the term changes. Deselecting it in the process ends it with the switch — the unused part is credited. That is something different from canceling further down: there the add-on stays available until the end of the period that has been paid for.

Adding and removing licenses

Licenses count separately as office seats and field licenses, and they can be added and removed again, one at a time or several at once.

What counts is what is paid for, not whom you invite. You can invite people in the employee administration at any time, but a person can only start working once a matching license is free: an office license for the office roles, a field license for the field roles.

  • Added licenses take effect at once and are charged pro rata for the rest of the current billing period.
  • Removed licenses end at the end of the current billing period. They are paid for until then, and there is no credit — but a removed license can no longer be assigned to anyone. As long as a removal is only scheduled, it can be taken back; the license is then free again.
  • Only free licenses can be removed. For a license that is taken, the person is deactivated first.

Nobody is locked out on the cut-off date. If more people are working by then than licenses remain, the removal only applies to the free licenses; the rest keep running and keep being charged. Zirko lets you know, and the removal can be scheduled again as soon as someone is deactivated.

Deactivating frees up a license, but does not remove it. The license is then available to someone else — it stays paid for until it is removed. Anyone away for just a few months is deactivated and reactivated later; you do not have to delete them for good for that.

During the trial this limit does not apply: as many people as you like can work. If a subscription starts during the trial, the smallest number of licenses chosen in the process applies as the limit for up to 24 hours. If more people are working afterwards than there are booked licenses, nobody is locked out either — Zirko then shows how many people are working without a paid seat. New people only join once licenses are added or someone is deactivated.

Add-ons: adding and canceling

Automation and — on Single and Team — scheduling are add-ons per business. If an add-on joins the running subscription, it is charged pro rata for the rest of the period. Once canceled, it ends when the current period runs out; that period is paid for and is not refunded.

Booking is not the same as switching on. Which automation actually works is your decision under Settings → Company → Automation — each one has its own switch there.

When the terms and conditions change

The same page shows, in the “General terms and conditions” card, which version applies to your business and since when.

If there is a new version, two buttons appear: “View the new version” and “Accept” — and, as long as the objection period is running, also “Object”. If you do not object by the stated deadline, the new version is deemed accepted. If you object, the previous version continues to apply, and either party can terminate at the point in time the new version would have taken effect — in writing, to the email address in the legal notice. If your contract ends that way, Zirko refunds the fee you already paid for the time afterward, pro rata, through the payment provider. Office admins additionally get an email about a new version and, for as long as it stands, see a banner: “New terms and conditions from …”.

The same principle applies to the data processing agreement, but with a consequence: a new version only takes effect with your explicit consent — and until then, whatever only that new version covers stays locked, such as connecting a mailbox of your own (see Setting up email sending).

When a change does not go through

Zirko then writes down why. The most common reasons: there is no running subscription · the subscription has already been canceled · a payment is outstanding · the billing period is renewing right now (in the half hour before that, the payment provider accepts no change).

In all of these cases nothing was changed. After a change it usually takes a few seconds until the payment provider has confirmed it — until then, the status shown may still be the old one.
