Settings → Employees → Invite employee. After that the person belongs to your business and sees exactly what their role allows.
How it works
- Choose the role — it decides whether the person gets the office or the site view.
- How your employee signs in: “With an email address” or “With a mobile number”.
- Enter first name, last name and the address, or the mobile number with its country code.
- Create invitation. You get an invitation link, a QR code to show or print — and, if sending is set up, the Send by email button.
The link is valid for 14 days and can be used once. The QR code is the quickest way on site: point the camera at it, set a password, done.
If Zirko cannot send the invitation itself, it says so — then you copy the link and send it yourself. The link works all the same.
The five roles

The permission cards in the settings only display this. You change a role at the top of your employee list under Change role.
Whoever leaves is deactivated — not deleted
Deactivate closes the access and frees up the license for someone else; the data and the recorded times remain. You keep paying for the license until you remove it under Contract & subscription. Deleting is the exception. Open invitations that nobody has accepted you take back with Withdraw.
What you should know
- You can always invite. The person can start working as soon as a matching license is free — an office license for the office roles (office and site), a field license for the field roles (site only). The dialog tells you beforehand which kind they need.
- An invitation does not book anything. If no matching license is free, add one under Contract & subscription. The amounts that apply are shown there too.
- During the trial — fourteen days from sign-up — as many people as you like can work. After that, as many as you pay licenses for.
- Signing in by mobile number only works in the Zirko app for iPhone and Android, not in the browser. The app is coming to the App Store and to Google Play but is not there yet — until then, invite people by email.
- Set the default working time model before the first person arrives. Otherwise they start without a target time, and their working time account is measured against nothing.
