There are two different deletions, and they are easy to mix up: your account is you as a person, the business is the company with all the data in it.
Deleting your own account
Settings → Company → Account. Anyone may do that for their own account — no admin has to agree, and nobody can delete somebody else's account.
To confirm, you type in your own email address. If you sign in with a mobile number, you type that number.
This is deleted:
- your access — after that no sign-in is possible any more
- your profile: name, phone number, picture, personal settings
- your memberships in the businesses you work for
- open invitations to you
This stays:
- Time records, reports and messages are kept without your name. They belong to the work of the business, not to your account.
- Documents you have issued go on carrying your name. An issued invoice cannot be changed under GoBD (Germany; in other countries the local equivalent applies) — it can neither be altered nor deleted. How long it stays depends on the retention period of the country the business is in.
Three cases where you have to do something first
1 · You are the only administrator of a business where other people still work. Then it does not work. Hand the administration over to somebody — otherwise nobody would get to the data of the business any more. After that your account can be deleted.
2 · One of your businesses has a paid subscription running. It does not end with your account and goes on being debited. Cancel it beforehand under “Contract & subscription” — after the deletion you cannot get to the administration any more.
3 · You are the only person in a business. If there are documents subject to retention there, the business stays in place until the period has run out — but nobody can sign in any more. If there is nothing subject to retention, the business is removed together with your account.
Download your data beforehand. After the deletion nobody gets to it any more, not even Zirko support. The way to do it is under Exporting your data.
Removing an employee
That is something different and runs through Settings → Company → Employees. There are two levels:
- Deactivate — access ends at once, the license becomes free, all records stay. You keep paying for the license until you remove it under “Contract & subscription”. You can reactivate the person as soon as a matching license is free.
- Delete for good — removes the membership in this business, and it cannot be undone. The person's Zirko account stays in place.
In both cases times, assignments, absences and account corrections are kept. Before deleting, Zirko lists what hangs on that person and names the retention period. In the time lists the name then carries the addition “(left the company)”.
Deleting the whole business
When your contract ends, the business goes into read-only mode: thirty days of reading, printing, exporting and recording incoming payments. Three warnings go out to you beforehand. After that a daily run deletes it for good.
You can bring that forward — Delete permanently now in the “Contract & subscription” tab. Three conditions for it:
- Only the Office – Admin may do it.
- The export has to be confirmed beforehand.
- You type in the business identifier.
What is then deleted is all documents, customers, projects, times and files of the business, plus the files in storage. That cannot be undone; after that Zirko hands out nothing any more.
