If your business has connected an AI phone service — a service that answers the phone for you when you cannot —, every call it takes ends up in Zirko as an inquiry: when, who, what it is about and when the caller would like a callback. Emergencies come first.
The “Inquiries” tab under Customers: an inquiry marked as an emergency at the top, below it an inquiry with a callback request, with the columns Received, Caller, Concern, Callback and Status — No screenshot is available in this language yet.
Where the inquiries are
- In the office: menu item Customers, tab Inquiries. At the top you choose Open, Closed or All; the search field finds name, number and concern.
- On the overview: the New inquiries card, emergencies first.
- In the app: above the assignments it says how many new inquiries are waiting and how many of them are emergencies; you also reach the list under Profile → Inquiries. Call lets you call back with one thumb.

Everyone who can see customers can see and handle inquiries — every role except Field – Team member.
Handling an inquiry
Each row shows its status: New, Called back, Done or No order. Once you have called back, choose Called back; when the matter is settled, Done — or No order if nothing comes of it. Reopen brings a closed inquiry back. Under Note you record what was discussed.
What it says under Concern and Address given by the caller was written down by the phone service, the way the caller said it — check it before you act on it.
Turning it into a customer and a project
If the phone service recognizes the number, the customer is already there, marked recognized by the number. If the number matches several customers, Zirko lists them under Matches this number — you choose with Assign.
Otherwise:
- Assign customer searches for an existing customer by name, number or email.
- Create as customer opens a new customer with the details from the inquiry. You enter the address given by the caller in the address fields yourself.
- Create project turns the inquiry into a project.
Creating or assigning a customer is done in the office. In the app you call back, set the status, write the note and create a project.
How long inquiries are kept
Zirko deletes closed inquiries 90 days after they were closed and open ones 180 days after they came in. Whatever you turned into a customer or project stays there. Delete inquiry in the office removes it at once.
The call itself is stored with your phone service. If you delete the inquiry in Zirko, it may still be stored there — you delete it there yourself.
Offline and in read-only mode
Without a connection you see the latest state; changes are possible again once you have signal. Calling still works. In read-only mode after the trial, the phone service creates no new inquiries, and editing is possible again only after payment; deleting still works.
